Before you choose

What to look for in document tools

Start by separating sharing from signing. You may want to control access to a presentation, understand how a proposal is read or collect signatures on an agreement. Those needs overlap, but a product designed for one task may be unnecessary for another. Define the outcome before choosing the tool.

Work through the experience for both sender and recipient. Check how a document is prepared, how someone receives it and what happens after it is opened or signed. Decide where the final copy will live and who can access it. A clear naming and filing routine will help even if the software also provides search and tracking.

Review the plan’s allowances, access controls and integration options. Where signatures are involved, confirm the appropriate method for the document and transaction rather than assuming every workflow is equivalent. Keep your own retention requirements in view and check export arrangements. Test a representative document with your team before moving a larger process. The aim is fewer uncertain handovers and a reliable record of what was shared, completed and still needs attention.
