What to look for in accounting software

Begin with the work that causes the most friction. You may need a complete accounting system, a clearer invoicing process or a reliable way to collect receipts. These are related jobs, but they do not always require the same product. Identify the gap before comparing a long list of features.

Involve the person who prepares or reviews your accounts. Agree where the main record will live, who checks transactions and how documents will be collected. If you already use software, confirm that a new tool connects to it in the way you expect. A connection is only useful when it carries the right information and fits the review process.

Test with examples from your own business. Include an invoice, a receipt and a transaction that is not entirely straightforward. Check how errors are corrected and how records can be exported. Allow time for setup and for people to learn a consistent routine. The aim is a dependable set of records that someone reviews regularly, rather than more software with nobody responsible for keeping it accurate.
